Privacy Policy.
Last updated: 14 May 2026. This Privacy Policy explains how Talentmade collects, uses, stores and protects personal data. It applies to this website, the discovery-call form, and every client engagement. We process personal data in line with the EU General Data Protection Regulation (GDPR / AVG).
1. Who is responsible
The data controller is:
Talentmade (trade name of Koldenhof Media)
Chamber of Commerce (KvK) number: 95384685
VAT (BTW) number: NL005149066B35
Email: info@talentmade.nl
2. What data we collect
We only collect the data we need to do our work and stay in contact:
- Identification data: name, business name (if applicable).
- Contact data: email address, phone number (if you share it), Instagram/TikTok handle or website (if shared via the form).
- Engagement data: the discipline you operate in (DJ, athlete, artist, manager, etc.), the project context, services you've ticked on the services page, and any message you send us.
- Production data: for active clients — invoice address, VAT number if applicable, payment data, and shoot logistics (dates, locations, accreditations).
- Content data: photos, video and other materials we capture during an engagement.
- Website analytics: anonymised statistics about page visits (pages viewed, country, device type). See the Cookie Policy for details.
3. Why we collect it (legal basis)
- To respond to a discovery-call request and prepare a tailored proposal — basis: pre-contractual steps at the request of the data subject (Art. 6(1)(b) GDPR).
- To deliver an Agreement once you become a client — basis: performance of a contract (Art. 6(1)(b) GDPR).
- To comply with tax and bookkeeping obligations — basis: legal obligation (Art. 6(1)(c) GDPR). Invoices and bookkeeping data are retained for 7 years as required by Dutch tax law.
- To use Deliverables in our portfolio (this site, social channels, case studies) — basis: legitimate interest (Art. 6(1)(f) GDPR) and, where required, your explicit consent (Art. 6(1)(a)).
- Website analytics — basis: legitimate interest in understanding aggregate traffic, with consent for non-essential cookies (Art. 6(1)(a) and (f)).
4. Who we share it with
We do not sell personal data. We only share it with processors strictly needed to run the agency:
- Hosting — Netlify (form submissions, site hosting). Data may be transferred to the US under Standard Contractual Clauses.
- Email — our email provider for sending and receiving correspondence with you.
- Accounting software — for invoicing and bookkeeping.
- Analytics — Google Analytics 4 (anonymised). See the Cookie Policy.
- Authorities — only where required by law (e.g. tax authority).
5. How long we keep it
- Discovery-call enquiries that don't become an engagement: 12 months, then deleted.
- Active client data: kept for the duration of the engagement plus 2 years for follow-up.
- Invoices, contracts and tax data: 7 years (legal obligation).
- Photos and video used in our portfolio: kept while relevant, removed on request.
6. Your rights
Under GDPR you have the right to:
- Access the data we hold about you.
- Have inaccurate data corrected.
- Have your data deleted ("right to be forgotten"), within legal retention limits.
- Restrict or object to processing.
- Data portability, receive your data in a structured, machine-readable format.
- Withdraw consent at any time (without affecting prior lawful processing).
- Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).
To exercise any of these rights, email info@talentmade.nl. We respond within 30 days.
7. Security
We use technical and organisational measures to protect your data: HTTPS on this site, access controls on production tools, password managers, two-factor authentication on critical accounts, and routine deletion of data we no longer need.
8. Use of likeness in content
If you become a client, the photo and video deliverables we capture include your likeness. We use those Deliverables to fulfil the Agreement and — unless your contract says otherwise — to feature the work in our portfolio (website, social channels, case studies). You can withdraw consent for portfolio use at any time by emailing info@talentmade.nl, after which we'll remove the relevant materials within a reasonable timeframe.
9. Children
This site is not aimed at children under 16. We do not knowingly collect personal data from minors. If you believe we have data about a minor, contact us and we'll delete it.
10. Changes
We may update this Privacy Policy as our processing changes. The latest version is always on this page. Material changes for active clients will be communicated by email.
